Use the Stays list, filters and operational groups without confusing assistance with status changes.
A Stay records one Guest’s visit to one Property. Its dates and status support daily operations, Survey invitations and Automation eligibility; the Guest record supplies the person and contact context.
Find Stays
From the left sidebar, select Stays. Users see only Stays in accessible Properties. Search by Guest name or email, Unit or room, or Reference. Use the Property, Status, From and To filters to narrow the list. Select a Stay to see its Guest, Property, Unit or room, arrival, departure, status, source, reference, notes, communications and Survey invitations. Select the Add Stay button for one Stay or the CSV import button for a property-scoped import.
Use Stay operations
The Stay operations area groups actionable records in the Property’s timezone:
- Arriving today and Arriving soon show Upcoming Stays arriving today or within the next three days.
- Currently in house shows Checked in Stays.
- Departing today and Departing soon show Checked in Stays leaving today or within three days.
- Departure passed shows Checked in Stays whose Departure date is already past.
These are focused assistance views; they do not replace a front desk system and never silently change a Stay status. For Departure passed, review the Stay and either mark it Checked out if the Guest departed or extend Departure if the Guest remains.
Manual and integration authority
Manually maintained Stays can be updated by permitted users. When an active external reservation has an active connection and mapping, the integration provider remains authoritative; review it in the provider instead of creating conflicting manual data. If that connection or mapping becomes inactive, ELUNIA’s manual lifecycle assistance applies again.
Departure reminder digests cover manual Stays only. Integration-managed Stays are excluded. Status and dates also affect Automation evaluation, but operational groups themselves do not send Surveys.
Empty states and troubleshooting
If no Stays appear, clear search and filters, check Property access, or add/import a Stay. If a Unit is absent, it may be archived or belong to another Property; existing imported or legacy room information remains visible when no Unit is selected. If an expected Automation did not run, verify the Stay status, dates, Guest contact, active Survey and Automation Activity rather than changing status solely to force a send.
Read the rows and add data
The table shows Guest, preferred communication language, Property, Room/unit, Check-in, Check-out, Status, Source and Reference. The language flag/native name comes from the Guest record. Room text may be imported or legacy text when no Unit is assigned. Source is descriptive; only a real active integration mapping establishes provider authority.
Press Filter after Search/Property/Status/From/To choices. View opens the stay; the operations panels above offer Review stay for a specific arrival/departure issue. Viewing either does not change status or send a survey.
Choose Add manually, Import CSV or Connect your PMS from the acquisition cards. Manual entry needs an existing guest. Search the unit selector after choosing that guest; only their property's units apply. Add a missing unit in the form's dialog without losing the entered dates. New manual Upcoming stays cannot begin in the past; historical/imported data follows its own rules. See Manage a stay and Integrations.
