Guest Message Templates

Manage Property and language-specific Survey invitation and reminder messages.

Guest Message Templates provide the email subject and body used for Survey invitations and reminders. They are Property-, type-, channel- and language-specific.

Find and edit templates

The primary route is from the left sidebar: select Surveys, select a Survey, then select the Sending tab and its guest-message control. For advanced Property-level management, open Settings, then select Message templates. The list shows name, Property, Survey invitation or Survey reminder type, guest language, and Preview/Edit buttons. Authorized users can select New template.

Complete Name, Property, Type, Guest language, Subject and formatted Body. Only supported template variables listed below the editor may be used. Show Property logo uses the current Property logo for future deliveries. Select Active only after review, then select the Save changes button.

One template may exist for each Property/type/email/language combination. An inactive template is a draft and is not selected for delivery. Preview renders fictional example variables and the current Property branding; it does not send an email.

Language and fallback

The Automation applies its effective property policy or explicit language override. Usable maintained canonical content can serve an unchanged original without requiring a separately saved translated template. Customized subject/body fields need current reviewed content. If the required experience or message cannot be resolved safely, the communication is blocked/skipped rather than treating an optional historical language as the requirement.

The Prepare / Update languages button queues a metered preparation and opens its saved progress. Generated copy is held separately for review; it does not replace or activate a message automatically.

Historical safety

When ELUNIA queues a Communication, it stores the rendered subject and body as evidence. Editing a template or changing the Property logo affects future deliveries only; it does not rewrite already queued/sent message snapshots. Deactivating a template does not recall messages. Permanent deletion is blocked by connected delivery/preparation/translation history.

If a send is skipped for template readiness, check Property, type, language and Active state, then inspect Delivery Activity. Keep invitation and reminder types distinct and preview every language before activation.

Shared translation readiness

A translated message is shared by every applicable Survey/workflow in its Property. Source edits can make its subject or body outdated independently. Existing active copy and queued message snapshots are preserved; no translation starts automatically. Inactive translated copy remains a draft. Older translations whose source cannot be verified require review.

Review the translation against the current source in the Edit form, preserve the supported variables and survey-link variable, then select Active when ready and the Save changes button. Saving translated copy acknowledges the current source. Readiness reports missing, unreviewed or outdated required messages even when an active template record exists.

Original message and safe updates

Each message family has one original language. New variants inherit that original. If existing independent versions are ambiguous, the Survey's Languages page asks Choose the message you want ELUNIA to use as the original. Compare the versions, then select Use this message as the original. Existing copy is preserved and needs review against the selected original. The property default does not resolve existing ambiguity.
