Import Guests and Stays

Prepare, preview, validate and commit a property-scoped Guest and Stay CSV import.
The Guest and Stay import creates property-scoped records from a CSV file. It does not accept XLSX files and does not import Accommodation Units.
Prepare and preview
From the left sidebar, select Guests or Stays, then select the CSV import button. You need Guest create permission and access to the target Property.
- Select the Download CSV template button.
- Keep a header row and prepare at most 500 data rows. Supported columns are first_name, last_name, email, phone, language, country, external_reference, room, check_in_date, check_out_date, status and source.
- First name, last name, arrival, departure and a valid status are required. Dates use YYYY-MM-DD; departure cannot precede arrival. Language must be supported, country is a two-letter code, and status is upcoming, checked_in, checked_out or cancelled.
- Select the target Property, choose the CSV file field and select the Upload and preview button.
- Review the detected column mapping and the first five rows. Map required fields if your headers differ, then select the Import button.
Preview stores the upload rows temporarily in your session; it has not committed Guests or Stays.
Validation, matching and commit
ELUNIA validates every non-empty row before writing. An error identifies its CSV row. If any row fails, the import creates no Guest or Stay; correct the file or mapping and preview again. Empty rows are skipped.
For each valid row, ELUNIA normalizes a supplied email and looks only within the selected Property. Exactly one case-insensitive email match reuses that Guest. No email, no match, or more than one matching Guest creates a separate Guest rather than making an unsafe identity decision. Names and phone numbers are not automatic merge keys.
The commit runs in one database transaction. Each prepared row produces one Stay linked to the resolved or newly created Guest. Room remains free text; it does not create or match a Unit. A successful result reports imported and skipped rows.
Troubleshoot safely
If upload is rejected, confirm it is CSV, has a header plus data, is within the row limit and uses accepted values. If no Property is available, check access. Search Guests after completion before repeating the import: submitting the same valid file again can create additional Stays and, where email is absent or ambiguous, additional Guests. ELUNIA does not provide probabilistic deduplication or a promise that every real person has only one record.
